Note: These features are part of the Visforms Subscription and are not included in the free Visforms version.

Note: In order for data views and the associated search filters to be available for a form, saving the form data must be activated in the form configuration: Form configuration, Result tab, Save result option = 'Yes'.

The search bar is located directly above the data list and contains:

  • The button with the magnifying glass to start the search according to the current search settings.
  • The button to display the advanced search tools with all field-specific search filters.
  • The actual search filters with the different options for searching for records in the form data.

Search Filters

All search filters are located in the search bar.

There are three types of search filters for defining the search:

  • Pure text search in multiple fields: One search text in the search field.
A search field for entering a search string for a general text search in the form data.
The search text is applied to multiple fields at once, and all matches are listed.
The section Which search filters are displayed further down on this page describes exactly which fields the search text is applied to.
  • Pure text search in a single field: A prefix followed by a colon and a search text in the search field.
You can also perform a text search in a single field using a suitable prefix.
The section Text search in single field describes what the appropriate prefix must be.
  • Advanced search tools: A field-specific search filter.
A button opens the display of the advanced search tools.
These contain the field-specific search filters for individual form fields and some overhead fields.

Search fields

The actual search for results in the database takes place in the search fields.
There are 3 types of search fields to search in:

  • Form field:
A field that is part of the form and appears in the form’s field list.
  • Overhead field:
An additional table field with pure meta information in the database table with the form data.
Overhead fields contain meta information such as IP address or user ID or a date and time.
Meta information is additional information that plays a role in the creation and maintenance of a form data set.
  • Technical field:
The data record ID is purely technical information about the functioning of the database tables and the internal table links. The data record ID is therefore not considered meta information (overhead fields) in the narrower sense.

Which search filters are displayed

The configuration of all relevant settings for a search filter related to a specific form field is done in a multi-level hierarchy:

Visforms creates the search filters according to the following settings:
